Adding tenants

Add a tenant with their right to rent and emergency contact, reference them, and give them their portal.

Video guide · step by step on screen, with captions (no sound needed). The written guide follows below.

Add a tenant

Go to Tenants and click New tenant.

  • Full name, email and phone — the email is how they sign in to the tenant portal and receive rent reminders.
  • Date of birth — used for referencing.
  • Right to rent — you must check every adult tenant before the tenancy starts. Record the result; for non-British tenants add the Home Office share code and the date their permission ends. You are reminded before a time-limited right to rent runs out.
  • Emergency contact — name, phone and relationship.

Click Save tenant.

The tenant page

Open the tenant; everything is in the tabs along the top:

  • Overview — their details; Check Right-to-Rent runs the online check with their share code.
  • Tenancies, Agreements, Payments, Maintenance — everything linked to this tenant.
  • Referencing — the 8-point check (identity, right to rent, credit, income, employer, previous landlord and more). Send each request from here and watch them come back.
  • Portal access — invite them to the tenant portal to see their rent and agreement and report repairs with photos.

A tenant is linked to a property and landlord through a tenancy — see Tenancies & rent rolls.
