PRS database (England): ready for GOV.UK registration

  • ✓ Each property has a PRS database panel: the property registration number, status, renewal date and the unique GOV.UK link the landlord sends you. The link is stored encrypted and opens from the property page; your GOV.UK password is never stored.
  • ✓ Landlord and property registration numbers are shown together on your adverts, portal feeds and website listings, and you are warned if an English let is advertised without them.
  • ✓ When a certificate, the rent, the tenants, a licence or the furnishing changes on a registered property, a task reminds you to update GOV.UK within 28 days.
  • ✓ Daily reminders for renewals and for let properties not yet registered before the planned deadline for their region, plus a PRS database report. The regulations are still in draft, so dates may change.

Reports rebuilt: sales, KPIs and staff

  • ✓ Reports can now be narrowed to one branch and any date range, and downloaded as a CSV.
  • ✓ Twelve sales reports: valuations, instructions, stock and days on the market, price reductions, offers, sales agreed against asking price, the pipeline from sold subject to contract to exchange, fall-throughs, expected and earned fees, solicitors and sources of business.
  • ✓ A monthly KPI summary compares this month with last month and the same month last year, overall and by branch, with a staff performance report beside it.
  • ✓ Two new lettings reports: everything expiring in a window (tenancies, rent reviews, certificates, Right to Rent and deposit deadlines) and the rent lost while properties stand empty.

Client money, the way an accountant checks it

  • ✓ A manual charge to a landlord is now either an agency fee (with VAT if you are VAT registered) or a cost passed on, so fees, VAT and landlord statements always agree.
  • ✓ Money held for tenants, such as rent paid in advance, is shown as held and can never be paid out to the landlord by mistake.
  • ✓ If fees were refunded after they had been moved to your office account, the client money report shows the shortfall and lets you record the top-up from the office account.
  • ✓ Non-resident landlord tax is worked out on the dates expenses were actually paid, from the quarter to 31 December 2026, with expenses over rent carried back or forward.

A sales section for estate agents

  • ✓ Sales now has its own section: a board of every sale, valuations, sales properties, offers, progression, vendors and conveyancers.
  • ✓ Vendors can have executors or someone with power of attorney acting for them. A property can be for sale and let at the same time.
  • ✓ Offers record the buyer's finance and chain, and the vendor and buyer are emailed when an offer is made and decided.
  • ✓ Once both solicitors are known, a memorandum of sale PDF is produced and sent to both of them, the vendor and the buyer. A change issues a new version.
  • ✓ Progression adds chase tasks for each step (searches, mortgage, enquiries, exchange) and warns you when a sale has gone quiet for 10 days.

HMOs let room by room

  • ✓ Add the rooms in an HMO and let each one on its own tenancy. The tenancy form only offers rooms that are free, and the house's maximum number of occupants is still checked.
  • ✓ The property page shows each room as occupied, ending, let agreed, available or vacant, with occupancy, rent roll, arrears and the rooms coming free in the next 60 days.
  • ✓ Certificate copies and visit notices now go to the tenant of every room, and repairs and inspections can be recorded against a room.

Referencing, ID checks and call logging (beta)

  • ✓ Connect your own PropertyGoose account to order tenant references from a tenant, applicant or offer. The outcome and the report are saved on the record.
  • ✓ Connect your own APLYiD account for ID and anti-money laundering checks on tenants, applicants and landlords, with reminders when a check is due again.
  • ✓ With bOnline, every call is logged on the matching tenant, landlord, applicant or contractor, and a pop-up shows who is calling before you answer. Calls from unknown numbers are listed for you to file.
  • ✓ The integrations page now says plainly whether each integration is working, needs attention, is not set up or is coming soon.

Move-in money, payment corrections, calls and invites

  • ✓ Request the holding deposit, the tenancy deposit and the first month's rent, each with its own payment reference. Payments in your bank statement are matched to them, with reminders while they are outstanding.
  • ✓ Managers can correct or delete a mis-keyed payment. Rent schedules, arrears and the landlord ledger follow, a reason is required and the change shows in the tenancy's payment history.
  • ✓ Every phone number on lists, tenancies, landlords and tenants can be clicked to call.
  • ✓ Portal invites go out in one click from the tenant and landlord lists and the tenancy page, and show whether each person is not invited, invited, expired or already signed in.

Property news in every portal

  • ✓ Law changes and housing news from GOV.UK and other housing feeds now appear in the agency, landlord, tenant and contractor portals, each story tagged by topic and audience.
  • ✓ Law changes can be emailed as alerts, with daily, weekly or monthly round-ups. You choose what your landlords and tenants receive, and every email has a one-click unsubscribe.

The rules, built into the way you work

  • ✓ Landlord registration: every landlord now has a place for their registration number and the date it was confirmed, ready for the new GOV.UK register, which opens region by region from 15 December 2026 (West Midlands first). Numbers will need to appear on adverts.
  • ✓ Deposit cap warning: enter a deposit above the Tenant Fees Act cap (5 weeks' rent, or 6 weeks' where the annual rent is £50,000 or more) and the tenancy form tells you the exact limit.
  • ✓ Gas safety early renewal: record a new gas safety check made in the two months before the old one was due, and the original date carries forward, so renewal dates stop drifting earlier each year.
  • ✓ Unsatisfactory EICR: record a report as unsatisfactory (or with C1, C2 or FI) and the 28-day remedial deadline is shown, with a high-priority task added with the steps to follow.
  • ✓ Right to Rent timing: recording a time-limited check more than 28 days before the tenancy starts now warns you, because a check made that early does not protect the landlord or your agency.
  • ✓ Information given to the tenant: each tenancy in England shows whether it needs the written key terms or the Renters' Rights Act Information Sheet, and records what was given, when and how. Tenancies with nothing recorded are flagged.

The pipeline: enquiries, applicants, viewings and offers

  • ✓ Properties can be marketed to let or for sale, with an asking price, a price qualifier, an availability date and a public description kept separate from your internal notes.
  • ✓ Applicants record what someone is looking for, and their page lists the properties you are marketing that fit.
  • ✓ Enquiries can be captured from a form on your own website, are shared out to whoever has the fewest open, are timed from first reply, and convert to applicants in one click.
  • ✓ Viewings are booked against a property and a person, warn you about a clash before you confirm, send a confirmation email, and record how interested the attendee was.
  • ✓ Offers are compared against the asking price. Accepting one marks the property let agreed or sold subject to contract; a sale then runs through nine progression steps to completion.
  • ✓ A pipeline report shows where enquiries come from, how many convert, and how quickly you reply.

Reminder emails that actually send

  • ✓ Certificate, right-to-rent and tenancy review reminders now email your owners and managers, as one daily summary per kind, instead of only being recorded inside the app.
  • ✓ Each agency can switch any of them off in Settings, Email, Notification toggles.
September 2026

Portal feeds fixed

  • ✓ The Rightmove, Zoopla and OnTheMarket feeds were selecting property statuses the app never used and pricing from a field that did not exist. They now send your marketed properties with the right price, the right transaction type and your public description.

A new name and a new address

  • ✓ The product was renamed (formerly Estate-HQ) and moved to its new address. Every old link redirects permanently, so nothing anyone had bookmarked is lost.
