A tenancy has four people in it: the tenant, the landlord, the contractor and you. Most agencies hold that in a CRM the staff use, a spreadsheet for rent, an inbox for repairs and a folder for certificates. Nobody outside the office can see anything, so every question becomes a phone call.
Letfold gives all four a sign-in to the same record. The tenant reports a repair and watches it progress. The landlord approves the quote themselves. The contractor accepts the job and marks it done. You stop being the switchboard.
Gas, EICR, EPC, HMO, right-to-rent and deposit protection are what an agent is liable for. They are in every plan, including the cheapest one.
Charging by the user makes agencies share logins, which ruins the audit trail. One price for the agency is the honest way round.
